Functional Knowledge

  • Oversee day-to-day office operations to ensure optimal efficiency and effectiveness.
  • Work closely with senior engineering managers in facilitate meeting coordination, communicate with partners and manage their administrative matters.
  • Manage office facilities and liaise with the Property Manager regarding security, building access, and repairs.
  • Work alongside key managers to optimize office layout and seating arrangements, as well as oversee the procurement of office furnishings.
  • In consultation with HR, assist with new employee on-boarding program
  • Schedule and organize staff meetings to facilitate information sharing amongst the staff
  • Assist in the planning and execution of office events, including coordinating catering arrangements.
  • Meeting Management – taking minutes, follow up, and report on progress
  • Responsible for managing the Administrative Group in the local office to ensure administrative tasks are completed

  • Support, coach and mentor team to develop their skills and achieve their potential
  • Share knowledge and answers questions in an encouraging manner
  • Identify opportunities to expose team to new career experiences
  • Actively work at building relationships to develop a network of internal contacts
  • Identify and discover meaningful ways to recognize team members

Business

  • Maintain existing relationships and foster emerging cross-functional relationships
  • Forecast and plan workload for the group based on the project needs and team capacities
  • Review team productivity assessing and developing streamlined practices that ensure high levels of service to the business
  • Oversee team performance to ensure effectiveness (i.e. team work meets schedules and deliverables)
  • Monitor internal business satisfaction levels and ensure that they remain high
  • Participate in planning and budgetary activities

Leadership

  • Address priorities and resource needs
  • Ensure all projects under supervision are progressing on time
  • Refine existing or develop new approaches to improve quality of work
  • Help other teams in RJC to leverage Administrative services, leveraging your team and looking for opportunities to collaborate
  • Provide input, leadership and innovation regarding company issues and policy development
  • Complete available Diversity, Equity and Inclusion trainings and frameworks to be a more diverse leader and contribute to team-specific and RJC-wide goals
  • Accountable for ensuring the HSE Program is communicated, understood and complied with by all levels of employees; providing employees with required training and equipment; informing employees of health and safety hazards; and ensuring continuous improvement of the overall program
